- Warganegara Malaysia (Bukan dari kalangan Warga Kerja TNB atau Anak - Anak
TNB) - Lulus Sijil Pelajaran Malaysia (SPM) atau Sijil Pelajaran Malaysia Vokasional (SPMV),
dengan lulus enam (6) matapelajaran termasuk kepujian dalam mata pelajaran Bahasa
Malaysia dan lulus dalam mata pelajaran berikut :-
• Bahasa Inggeris
• Matematik - Mempunyai Diploma dari Politeknik tempatan dan Universiti-Universiti yang
diiktiraf oleh kerajaan (Malaysian Qualifications Agency (MQA) dengan keputusan
minimum CGPA 3.00 dalam bidang seperti:- - Diploma in Secretary, Office Management, Business Management or equivalent.
- Memiliki pengalaman sekurang-kurangnya 5 tahun sebagai Setiausaha
- Boleh untuk ditempatkan di mana-mana negeri seluruh Semenanjung Malaysia serta
Sabah dan Sarawak - Berumur tidak melebihi 35 tahun pada tarikh tutup iklan.
- Mempunyai tahap kesihatan yang baik serta tidak menghidap sebarang penyakit.
- Tidak rabun warna
- Boleh berkerja secara bersendirian atau dalam satu pasukan
Accountability & Responsibility
Executive Support:
Manage the HOD’s schedule, coordinating internal and external meetings and appointments, including booking meeting rooms, arranging refreshments, send meeting invitation and generating Webex meeting links.
Prepare and finalize program / travel itineraries and accommodation arrangements for official business trips.
Prepare and review documents before obtaining the HOD’s approval. Ensure information accuracy and completeness.
Provide advice on task prioritization and urgency to the HOD’s.
Provide support and assistance regarding HOD/HOU daily tasks, including gathering information.
Take accurate minutes of meeting and distribute it to relevant parties, whenever required.
Collaborate and maintain good networking with secretaries from other departments and divisions to ensure efficient operations.
Administrative Tasks:
Efficiently manage incoming and outgoing correspondence, including calls, emails, letters, faxes, and other forms of communication.
Maintain a well-organized system for document filing both online and physical, ensuring easy accessibility and reference for future use.
Closely track outstanding issues with relevant parties, ensuring timely feedback and resolution.
Manage effective administrative tasks for HOD Office (i.e. driver arrangement, internal / social event, inventory management etc.)
Disseminate information, memos, circulars, and management instructions effectively across departments via appropriate channel to ensure clear communication and implementation.
Conduct regular housekeeping activities and implement 5S practices to maintain a clean and organized workplace.
Support continuous improvement initiative to enhance productivity and quality.
Financial Management:
Facilitate and monitor annual budgets for the HOD’s office.
Process expense claims and invoices related to HOD’s.
Facilitate smooth financial approval i.e. NPOS.
Confidential Matters:
Handle confidential information with the utmost discretion and professionalism.
Maintain strict confidentiality of sensitive documents and communications.
Support Function:
Ensure strict adherence to all relevant laws, statutory requirements, internal guidelines, procedures, and industry best practices, implementing necessary control measures to maintain compliance.
Demonstrates full commitment to HSE principles, fostering a safe and conducive work environment, support HSE initiatives and ensuring strict adherence to all HSE procedures and internal guidelines.
Maintain elements of Genco Integrated Management System (ISO 14001, ISO 22301, ISO 45001, ISO 55001, ISO 27001, ISO 9001) and other management system standards based on roles and functions as and when required to achieve Genco’s policies and objectives.
Education and Knowledge
1. Minimum Diploma in Secretary, Office Management, Business Management or equivalent.
2. Strong understanding of office protocols, procedures, and etiquette.
3. Proficiency in document creation, editing, and filing.
4. Strong written and verbal communication skills to interact with various stakeholders.
5. Ability to manage multiple tasks, prioritize, and meet deadlines.
6. Effective time management to balance various responsibilities.
7. The ability to identify and resolve issues efficiently.
8. Extensive knowledge regarding internal processes, procedures, and policies

Experience Requirements
1. Minimum five (5) years of working experience with preference in secretarial, office management or equivalent. Fresh Diploma holder is encouraged to apply this position.
2. Experience providing high-level administrative support, including scheduling, correspondence, and event planning.
3. Experience managing office operations.
4. Experience handling financial tasks, such as expense claims, invoicing, and budgeting.
5. Proficiency in using ERMS, Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant computer applications.
6. Excellent written and verbal communication skills.
7. Fostering collaboration and teamwork across functional areas.
